What group coordination covers

The work includes guest hotel arrangements, restaurant reservations, venue coordination with your planner or the venue's own team, corporate events and conferences, weddings, family events, group airport arrivals and departures, and multi-vehicle schedules that run across a full day or a full week.

JB is not a traditional event-planning company. We do not design your event or manage the room. We handle event coordination around it: how people arrive, how they move between locations, where they stay, where they eat, and what happens when part of the schedule shifts. That work sits alongside your planner rather than replacing them.

Group vehicle choices

JB arranges vehicles through a vetted provider network. Exact make, model, configuration, color, features, and availability are confirmed with each reservation. Equivalent or upgraded substitutions require customer approval.

Multiple-vehicle plans

  • SUVs for the executives and a Sprinter for the wider staff, arriving together at the same entrance
  • Multiple Sprinters running as a small convoy when the group splits naturally into teams
  • A Sprinter and coach combination, with the coach carrying the main body of the group
  • Separate vehicles for luggage, equipment or event materials
  • Airport shuttles operating on staggered schedules as flights land through the day
  • Transportation for groups larger than 56 passengers, planned across as many vehicles as the headcount requires

Occasions we coordinate most often

Corporate events and conferences

Hotel blocks for attendees, shuttles between the hotel and the venue, staged departures for offsites, and separate transportation for the leadership team when the schedule differs. Dinner reservations and venue timing are handled in the same thread as the vehicles.

Guest hotel arrangements, a shuttle loop between the hotel block and the venue on a published interval, transportation for the wedding party, and a return loop scheduled later than most people expect.

Family events

Milestone celebrations, family gatherings and simchas where relatives arrive from several directions. Airport pickups, restaurant reservations for the full party, and vehicles sized so nobody is left driving at the end of the night.

Multi-day and multi-city itineraries

Coordination is nationwide and international, so a schedule that starts in the Tri-State Area does not have to end there.

Venue and supplier coordination

Loading times, staging positions, curb access and the contact who actually opens the gate. We confirm those details with the venue in advance so drivers are not negotiating them on the day with a hundred guests waiting.

How a group plan comes together

  1. 1. Tell us the group and the dates

    Passenger count, dates, pickup and drop-off addresses, and the time that cannot move. Luggage matters as much as heads, so mention checked bags, instrument cases, equipment or anything that needs a trailer.

  2. 2. We recommend the vehicle plan

    We will say when a single larger vehicle is the better call and when splitting the group saves time on the day.

  3. 3. We build the schedule and the surrounding plan

    Departure times, loop intervals, staging positions, and a day-of contact are provided in a clear format that can be shared with a venue coordinator or the full group.

  4. 4. We run it on the day

    Drivers work the posted schedule and the plan is adjusted live when part of the day moves.

Quotes may be presented as an all-inclusive price or as an itemized proposal, depending on the service and client preference. A quote remains valid as issued unless the itinerary or requested services change.
